Administrative Coordinator
Marietta College- Marietta, OH

Main Responsibilities

Recruitment Support: Coordinate mailings with the Office of Admissions to target students who meet the criteria to apply to the McDonough Leadership Program at the McDonough Center.  Maintain an internal database and files to track each student's application approval status, confirmation, or cancellation to Marietta College and/or the Leadership Program. Prepare weekly comparison and admission counselor reports.

Program Coordination: Schedule appointments, maintain calendar, and compose letters and other correspondence for the Dean of the McDonough Center. Coordinate with the Office of Civic Engagement the record keeping of community service hours performed by McDonough Scholars. Prepare statistical reports on McDonough Scholars for reporting to Dean and McDonough Leadership Advisory Board members. Assist with the planning and implementation of the annual leadership programming, such as the McDonough Leadership Conference, Fitzgerald Executive-in-Residence program, Schwartz Leader-in-Residence program, Visiting Executive program, EXCEL Workshop, Peoples Bank Undergraduate Business Case Competition, Leadership Q&A's, Great Decisions Series, etc. Administration of student awards and stipends, organizing meetings and events (staff meetings, holiday party, etc.).

Fiscal Oversight: Assist the Dean in developing the yearly budget for all leadership programming.  Process check requests, deposits, expense reports, and final credit card reconciliations for all McDonough staff. Verify all budget and line item allocations/expenses/deposits/balances for all McDonough Center budget accounts, including grants.

Building: Coordinate scheduling of all rooms in the McDonough Center and setup of all equipment as requested.  Schedule maintenance, replacement, and repair of all equipment and furnishings in the McDonough Center.  Work with internal and external personnel to complete building repairs and renovations. Serves as the building coordinator.

Student Employment: Interview, hire, train, and supervise all work-study students. Coordinate office duties/tasks for work study students. Approve work-study student time cards.  Assist in the interview process for all other personnel for the McDonough Center.

Publications: Assist in the development and printing of McDonough Center promotional materials for the Leadership Program, including brochures, marketing materials and handouts.  Serve as the co-editor of the annual Tower Notes publication.

Office Support: For the McDonough Faculty and Director of Civic Engagement.


Function:  This  position routinely applies broad and deep knowledge of Marietta College as an institution, its people, processes, culture and information systems that can only be gained through advanced on-the-job-training by virtue of employment at Marietta College or a similar environment. It is common for this position to perform at the highest non-exempt level in terms of duties, functions, responsibility, scope and autonomy.

The position requires highly developed knowledge of program-specifics and Marietta College organizations, people, services, procedures, work processes, the community and information systems.

This position manages all aspects of complex events with little to no direction other than general guidelines.

Has authority and accountability for parts and portion of the Center's budget (s) and/or endowed accounts.

This position has access to sensitive information.

Admission Counselor

Job Description:

An Admission Counselor plays an important role in the successful recruitment of freshmen and/or transfer students, meeting enrollment goals. S/he will "own" a geographic travel territory, from which he or she will recruit with actual travel to high schools, attend college fairs and hold meetings with interested students.

Counselors work with the prospective students in their territory, building relationships and answering questions throughout the admission process. Frequent contact includes calling, emailing and texting students. In addition to successfully managing his or her territory, an Admission Counselor will have other responsibilities that are key to the running of the Office. These key responsibilities may include, but are not limited to, event planning, communication planning, data analysis, alumni recruiting, managing work on publications and data management.

Admission Counselor must be willing to accept other responsibilities as assigned.
